Job Title: Administrative Associate
Immediate Supervisor: Owner, Gould Ruma Financial Advisors
Salary: $12.00 - $15.00 per hour
Work Hours: M - F 9:00 am – 5:00 pm

Boutique independent financial planning office is seeking individual to help with administrative and client services duties.​ This individual will be an integral part of a team that provides financial planning and investment services to a diverse client base.​ This position will be responsible for general office administrative duties and resolving client issues through exceptional follow-up and follow-through skills.​

Responsibilities include but not limited to:

  • Answer phones, serve as receptionist and greet clients
  • Resolve client questions and requests
  • Maintain calendar for office to include scheduling review appointments
  • Maintain CRM and update appropriate client applications
  • Create reports using Morningstar and other proprietary applications
  • Initiate and coordinate all necessary paperwork
  • Process client checks and securities
  • Responsible for Social Media postings including website updates, Facebook and Twitter
  • Maintain client files and records retention/destruction
  • Maintain small kitchen area

A successful candidate should possess the following qualifications:

  • High School Diploma or GED required, Associates Degree or higher preferred
  • Strong administrative skills to include follow through
  • Commitment to high quality client support
  • Exceptional organization and problem solving skills
  • Attention to detail a must
  • Ability to multi-task and prioritize
  • Positive, caring attitude with ability to work independently
  • Works well with a small team
  • Excellent verbal and written communication skills
  • Ability to professionally interact with wealth management clients
  • Discretion when dealing with confidential matters
  • Familiar with posting to social media sites such as Facebook and Twitter
  • Comfortable and familiar with basic computer software including Microsoft Office and Adobe Acrobat
  • Related investment/​insurance industry experience preferred but not required
